Next meeting will try to meet with all four entities involved in the Opera House
CS – explained the Chambers vision of managing the OH
· They would be in the building; therefore, could handle security, locking doors, etc. for the time being.
· Draft of “Littleton Opera House Memorandum of Understanding”
o Asked OHMC to look it over
o Nothing decided
o Review at a later date
· Lease Agreement – already exists
o Marketing
o Management
o And Use
· It is a beginning of Responsibility for “Who does what”.
DM – Discussion of Responsibilities
· Security
· Scheduling
· User Fees
· Parking
· Expenses
· Insurances
CS – Chamber has/will cover many of these concerns when they are in the building full time. Several documents already exist or in the process of being created.
· Coverage of Liability
· Policies and Procedures – separate documentations
· Waiver of Liability for Keys to the building
· Maintenance,
· Etc
· And again the “Memorandum of Understanding”
**Scheduling of the OH will be handled by the Chamber/ Chad. No vote, but seemed to be overall approval. Seemed to be the logical way to approach the issue of scheduling
· Google Calendar – linked to Town website
· The more the building is used, the more it will be necessary for only one scheduler.
· Will need to check with Building Facilities Manager
Budget.
SK – Believes there is $50,000 (Unsure of exact amount) for heat, electric, water, etc. Not sure what else the amount is to cover. The money may be able to be used for cleaning and maintenance. **Need clarification**
CS – Several cleaning companies have been contacted to bid for the job.
DS – Non-profit status was discussed. How can we use the OH to its full potential?
· Learn from others
· Agreement for leasing groups
· Sliding Scale – Town meetings obviously free
· Profit vs. Non-profit
JA – Not to compete with other communities (Colonial or Catamount). He was glad that people had faith in us that we would actually generate income. We need to look at what are the costs? What are the costs down the road? We will have to Learn as we go.
CS – Fee schedule and Insurance coverage is being worked on.
**Alcohol discussion – There was considerable discussion on whether the town has an ordinance on alcohol use in public building. MS – “quick” look of town ordinances, could not find anything actually prohibiting use.
DM – Not to exclude anything yet! Look into fire safety and police coverage
CS – Catering and crowd control.
**Fee schedule – Price per Hour. When we are talking price, does it include set-up, rehearsal, clean-up, etc.
MS – Who is on which committee? She will be setting up a diagram.
CS – Name tags. Donors from the past (Funding Drive of 1996), several rows of chairs removed. What to do with name tags? Old hospital is recognized by plaque at the new hospital.
DM – What can we accomplish tonight?
· Chad scheduling – Will it be a person, Chad, or position, the Chamber.
· Limit number of keys
· Who can help?
o CS – Internships with high school
o Volunteers
o Retirees
o No plans on who can help.
o JA – Take requests from volunteers, Chad will bless
**Guidelines – who we want to rent the venue.
CS – Town committees, small groups, big cultural event, school plays, square dancing, wrestling, wine and cheese tasting, etc. Contact lawyer on documentation.
DM – How soon do we want to start?
**Clean up – high school students to clean, possibly paint the stage.
GS – The OH is historical entity, need to clear through the Dept of Historical Resources. The curtain remains an issue. Replace or restore? The stage needs a short term solution.
CS – May 15th “Idol” and Dennis Hartwell. Dennis needs to be contacted about what he will need. Floor covering and chairs?
JA – Do we have a green light to clean?
DM – What can we tell the BOS on May 26th? Everything is in process.
**Maintenance –
MS – Who is responsible? Bathrooms, changing light bulbs, regular maintenances
Several people listed items needing attention
· CS – Screens, cleans windows, doors don’t close right, handicapped accessibility
· Pressure washing the building
· JA – Deck needs washing and maintenance
Maintenance budget – Facilities Manager has the purse strings. Each department takes care of their own facility. Does Joe even know what his job is at the OH?
MS – Who is that person right now? Who coordinates building management? All four OH entities will be here next week to answer questions.
